Job Description
A. YOUR RESPONSIBILITIES
1. Payroll Management
- Oversee employee attendance records and ensure compliance with internal labor regulations.
- Monitor and manage employee leave entitlements, overtime, and out-of-hour work.
- Calculate and process monthly payroll, bonuses, and allowances; prepare and distribute payslips to employees.
- Keep track of and update salary and bonus policies from both government regulations and school policies.
- Handle employee inquiries and concerns related to compensation and benefits.
2. Personal Income Tax (PIT), Social Insurance, and Trade Union
- Advise and guide employees on Personal Income Tax (PIT) matters.
- Support employees with PIT registration and required documentation.
- Issue and manage monthly PIT deduction receipts.
- Consolidate and manage monthly PIT data and prepare year-end PIT reports.
- Calculate and remit PIT in accordance with legal requirements.
- Assist employees with the annual PIT finalization and refund process.
- Regularly update changes to PIT regulations issued by local authorities.
- Register, adjust, and terminate Social/Health/Unemployment Insurance for employees; handle claims related to maternity, sickness, occupational accidents, etc.
- Liaise with social insurance agencies to update records, submit claims, and follow up on processing.
- Monitor and implement updates to insurance regulations.
- Support employees in resolving issues related to insurance.
- Stay informed about labor union policies; coordinate union membership status tracking and support union-led activities for employees.
3. Labor Contracts, Employee Records & Decisions
- Manage all types of employment contracts: draft, renew, and terminate contracts in compliance with school policies and labor laws.
- Prepare, issue, and archive official HR decisions such as promotions, transfers, salary adjustments, and disciplinary actions.
- Monitor and apply changes in labor regulations related to employment contracts.
4. Expat Formalities
- Handle the issuance, renewal, and tracking of visas, work permits, and temporary residence cards for foreign teachers.
- Assist the Expat BP in preparing relevant documentation and supporting papers for expatriate staff.
- Stay updated on government regulations regarding expat labor and ensure compliance.
5. HR Administration, Employee Engagement & Other HR Tasks
- Administer employee welfare benefits provided by the school (e.g., wedding, funeral, birthday gifts, etc.) in accordance with internal policies.
- Support the organization of annual HR events and staff engagement activities (e.g., Team building, Teacher’s Day, etc.).
- Manage HR administrative tasks (Parking cards, Employee card, uniforms, etc.)
- Collaborate with relevant departments to ensure compliance with workplace rules and regulations.
- Work closely with other HR team members to continuously enhance employee satisfaction and overall employee experience.
6. Reporting, Other Assigned Tasks and School Policy
- Attend team/department/school meetings to get updates on codes, regulations, policy.
- Comply with departmental and school regulations, guidelines, and policies.
- Participate in organizing school-wide events and activities.
- Other reasonable task assigned by the Line Manager/ Board of Directors.
B. JOB REQUIREMENTS
1. Education
- Bachelor’s degree in Human Resources, Business Administration, or related fields
2. Experience
- From 2 years of experience in C&B; Preference for candidates with experience in schools and expats
- Previous experience in proceeding with visa, temporary resident card, and work permit applications
3. Knowledge and Skills
- Knowledge of Vietnamese Labor Law, PIT, Social Insurance, and Expat regulations
- Strong attention to detail, organization, and confidentiality
- Proficient in Microsoft Office and HRIS systems
- Good communication in English and Vietnamese
