Job Description

The IT Applications Management Executive is the focal point for managing implementation, governance, and support of applications at UTS. The position is responsible for effectively analyzing, planning, organizing, and coordinating with Van Lang Group (VLG) IT Department in support of applications management while managing risk, workload, scope, capacity, schedule, and budget.

This position also works closely with project sponsors, business and technical partners, subject matter experts, end users, technical resources (internal and third-party vendors), senior management in the delivery and support of applications that ensure that the needs of users are fully addressed, and continuous improvement is being achieved. 

A. YOUR RESPONSIBILITIES

1. IT applications landscape management

  • Participate in planning and synchronous management of the overall architecture of 
    the IT system in terms of software systems and applications;
  • Identify opportunities for application optimization, redesign, or process improvement -
    focused on collaboration systems and internal tools for learning & working at school;
  • Provide application administrative support across applications as needed, especially for 
    Microsoft 365 Ecosystem;
  • Partner with business stakeholders, vendors, and IT management to provide a strategic 
    vision for new and supported applications and create system roadmaps and business 
    processes;
  • Manage application maintenance outsourcing & software contract agreements;
  • Implement and monitor standards around scope management, financial management, 
    service level agreements (SLA), ensure compliance to mitigate risk, increase 
    service/business impact & reduce costs;
  • Oversee the efficient implementation of technology resources;

2. IT application (deployment) project management

  • Participate in researching, proposing and setting up software solutions, IT applications 
    to increase operational process efficiency;
  • Address the various needs, concerns, expectations of stakeholder groups in planning 
    and executing new projects;
  • Lead and manage project vendors to ensure timely deliverables within budget and 
    scope;
  • Develop and manage contractual documents;
  • Proactively solve project issues promptly and effectively;
  • Proactively lead and empower project team members to innovatively deliver product;
  • Work effectively to ensure appropriate parties are involved and engaged to achieve 
    project goals;
  • Provide periodic communications to project sponsors, stake holders and management;
  • Balance project constraints including but not limited to scope, quality, schedule, 
    budget, resources and risks in order to accommodate the needs of each user/group of 
    users;

3. User management

  • Provide or coordinate to provide training for first-level support team and end-users;
  • Provide or coordinate to provide application support ensuring business operations 
    both technical and functional;
  • Build a strong technical culture around our business systems that emphasizes technical 
    excellence, rapid iteration, strong security, and frictionless user experiences;

4. Database administration

  • Define users access rights matrix and enable data distribution to the right user, in 
    appropriate format and in a timely manner;
  • Protect data by coordinating with VLG’ IT Department to develop data security and 
    restoration policies, procedures, and controls;
  • Develop procedures to ensure data integrity and quality across application in-used at 
    UTS;

5. Report and do other tasks as assigned

  • Propose and monitor performance indicators of IT systems in terms of applications 
    and software and make reports on performance periodically or upon request;
  • Lead/Coordinate other duties as assigned by the Head of Department;

B. JOB REQUIREMENTS

1. Education

  • Bachelor’s degree in Information Technology, Software Technology, Information System Management (ISM) or equivalent;

2. Experiences (type of)

  • Minimum 1-2 years of job-related experiences required;
  • Have knowledge and experience in implementing IT Application projects;
  • Experience in Office 365 suite of tools, including but not limited to SharePoint, OneDrive, Teams and others required;
  • Experience with data analysis using Power BI, Excel Pivot Tables, or other similar tools preferred;
  • Basic knowledge or experience in Database Administration is an advantage;
