Job Description
As the Intern, Human Resources the jobholder is responsible for supporting the Human Resources Department in daily HR operations, including recruitment support, employee administration, and internal coordination. The role contributes to ensuring smooth HR processes, positive candidate and employee experience, and effective collaboration across academic and administrative departments within the school environment
A. KEY RESPONSIBILITIES
1. Talent Acquisition (35%)
- Manage and post job advertisements on job portals and social networks;
- Understand job requirements and sourcing suitable candidates for different positions;
- Search and screen candidate’s profile via job boards, social networking site,...;
- Phone-screen to identify suitable candidate;
- Schedule and confirm interviews with candidates and hiring managers;
- Support for employer branding activities (internal/external events and social posts,...);
- Assist with onboarding activities;
- Ensure a positive and professional candidate experience throughout the process.
2. HRIS Implementation Support (35%)
- Assist in data migration, ensuring accuracy and integrity of candidate/employee information transferred to the new system. This may include formatting data, cleaning data, and verifying data accuracy;
- Conduct thorough testing of the system to identify and resolve any issues related to functionality, data accuracy, and user experience;
- Develop user-friendly training materials, including guides, FAQs, and potentially video tutorials, to support employees in using the new HRIS across all locations.
3. HR Administration (30%)
- Assist in organizing engagement activities and events (seeking suppliers, design videos & posters, running events such as Women’s Day , …).
- Assist with day-to-day operations of the HR functions and duties (expat formalities, etc.);
- Prepare and distribute HR-related documents (if any);
- Make advance or payment request (if any);
- Translate some policies from Eng version into Vietnamese version and vice versa;
- Other tasks as assigned by HR Manager or Managing Director.
B. JOB REQUIREMENTS
- Third- or final-year university student Human Resources, Business Administration, or a related field.
- Proficient in English skills (4 skills)
- Proficiency in Microsoft Office Suite; familiarity with Canva or other dashboard tools is a plus
- Strong attention to detail and a commitment to accuracy
- Basic understanding of HR principles and practices
- Ability to learn new software quickly and effectively
- Strong problem-solving and analytical skill
- Customer-service mindset, professional communication
