Job Description

A. KEY RESPONSIBILITIES

1. Administration tasks

  • Assist with day-to-day operations of the HR functions and duties;
  • Maintain accurate and up-to-date employee records and files;
  • Prepare and distribute HR-related documents;
  • Schedule meetings, HR events, and maintain agendas;
  • Follow stationery order, uniform production full process;
  • Make advance & payment request (shipping fee, taxi fee, etc.);
  • Update internal databases with new employee data including contact details and employment forms;
  • Translate some policies from Eng version into Vietnamese version and vice versa.

2. Talent Acquisition

  • Manage and post job advertisements on job portals and social networks;
  • Understand job requirements and sourcing suitable candidates for different positions;
  • Search and screen candidate’s profile via job boards, social networking site,...;
  • Phone-screen to identify suitable candidate;
  • Schedule and confirm interviews with candidate;
  • Support for employer branding activities (internal/external events and social posts,...);
  • Assist team in organizing career fairs and special events.

3. Onboarding and Offboarding

  • Assist in helping new hires regarding the onboard process;
  • Support in posting internal communication (welcome onboard, offboarding, promotion, monthly happy birthday,…);
  • Assemble necessary documents for the offboarding process, including exit clearance report forms, and ensure return of school property, such as ID badges, keys, laptops, and other equipment.

4. Employee Engagement

  • Assist in organizing employee engagement activities and events;
  • Assist the HR team in organizing engagement activities and events (seeking suppliers, design videos & posters, running events such as Mid-autumn Festival, Women’s Day, Teacher’s Day, Christmas Workshop, Year-end Party, …).

5. Other tasks as assigned by HRM

B. JOB REQUIREMENTS

  • Final year student in University with expected graduation in 2025 or 2026;
  • Strong organizational and administrative skills;
  • Excellent communication and interpersonal skills;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
  • Ability to handle confidential information with discretion;
  • Attention to detail and accuracy in data entry and record-keeping.
